Here’s the reality: your venue coordinator’s job is to get you to sign. They’re warm, they’re enthusiastic, they remember your dog’s name — and they’re also not going to volunteer the information that could slow down that signature. That’s not malicious. It’s just how the industry works.
I’ve been on the other side of this table for over a decade and 1,000+ events. So let me tell you what to actually look for.
The Verbal Promise Problem
If your coordinator says “oh, we’re flexible on that” or “we always accommodate our couples” — that means absolutely nothing unless it’s in writing. Venue staff turn over. Coordinators leave. New management comes in with different priorities. The only thing that survives all of that is what’s in your contract.
Before you tour a single venue, ask for a sample contract. What’s in there tells you more about the venue’s values than any walkthrough ever will.
The Rental Window Is Probably Shorter Than You Think
Most venues quote an “event window” — usually 5 to 6 hours — and call it a day. What they don’t tell you is that setup, breakdown, and vendor load-in are often separate, metered, or buried in the fine print. Some couples get hit with overtime fees because their florist ran 20 minutes over on teardown.
Ask specifically: What is the total rental window, including setup and breakdown? What happens if we go over?
The industry standard hovers around 9 to 10 total hours. That’s enough for most weddings — but barely. At our venues, we offer a 16-hour window precisely because we watched couples spend their wedding morning stressed about logistics instead of getting ready. A rushed rental isn’t a good experience. It’s just a full one.
Preferred Vendor Lists Are Not Always What They Seem
This one surprises people. Vendors on preferred lists at some venues pay 10 to 35 percent of their fees to be on that list. That cost gets absorbed somewhere — either into the quote they give you, or into corners they cut to maintain their margins.
Ask directly: Do vendors pay to be included on your preferred vendor list?
Some venues use their list as a genuine quality filter. Others use it as a revenue stream. You deserve to know which one you’re working with.
Equally important: Can I bring any vendor I want? If the answer involves restriction fees, mandatory in-house catering, or limited exceptions — factor that into your total cost calculation. And your decision.
The Hidden Fee Stack
The number on the website is rarely the number on your invoice. Here’s what commonly gets added after the fact: service charges (18–22%), admin fees (5–10%), cake-cutting fees, corkage fees, credit card processing fees, cleaning fees, security requirements, and certificate of insurance fees.
A venue that looks competitive at first glance can end up 30 to 50 percent higher once everything’s added. Ask for a full line-item breakdown before you sign anything.
Cancellation Clauses Cut Both Ways
Most couples read the cancellation policy thinking about their own risk. But it cuts both ways. What can the venue change after you sign? Many venues require 50 percent non-refundable deposits upfront. Make sure you understand what you’re actually protected from — and what you’re not.
The Questions Worth Asking Before You Sign
- What is the total rental window, including setup and breakdown?
- What are all the fees — every line item?
- Do vendors on your preferred list pay to be there?
- Can I bring any vendor I want, with no restrictions or fees?
- What is the cancellation and rescheduling policy for both parties?
- How many other events are booked on my date?
- What’s the backup plan if something goes wrong with the space?
- What is and isn’t included in the base rental?
